Terms of Service & Privacy Notice

1. What we are
A private document retrieval service. Not affiliated with any government agency. Our concierge fee covers the dedicated research, secure formatting, and expedited digital delivery of existing property boundary records. We are an administrative service, not a licensed surveying firm, and we do not perform, certify, or alter physical surveys.
2. Service scope
Included:
- Retrieval of existing recorded boundary surveys
- Subdivision plat maps
- Parcel maps and assessor's records
NOT included:
- New surveys (requires a licensed surveyor in your state)
- Property corner stakes or field markings
- Title reports, deeds, ownership history, or chain-of-title research
- Engineering drawings, construction stakes, or grading plans
2a. Qualifying record
A "qualifying record" is any one pre-existing document on file with the county that (a) identifies the parcel you submitted by address, parcel number, or legal description, and (b) is a recorded survey, a recorded plat or subdivision map, or an official parcel or assessor map. Delivery of one qualifying record completes the order. We do not guarantee any particular age, scale, or fitness of the record for any purpose.
3. Authorization, capture, and refunds
When you place an order, we use Stripe to place a $99 authorization hold on your card. This is not a charge. No money is transferred from your account at the time of authorization.
The hold is converted to a charge ("captured") only after we successfully email you the retrieved document. If we cannot retrieve a recorded survey for your parcel - because no survey has been filed, or because the county office is unreachable, or because we exceed our 48-hour service window - the hold is released and you are not charged.
Delivery is complete when the document email is dispatched to the address you provided at checkout. Check your spam or junk folder; we re-send at no charge on request. You may cancel any time before delivery by emailing support, and the hold is released immediately. Once a hold is released, the pending authorization typically clears from your statement within 3-5 business days, depending on your bank.
For completed deliveries, we refund in full within 7 days of delivery if: (a) the document does not identify the parcel you submitted; (b) we delivered a document type other than those listed in section 2a; or (c) the file is unreadable and we cannot re-deliver a legible copy within 1 business day. Request a refund by emailing support@regionalsurveyportal.org. Refunds are not provided because a correctly retrieved record contains unexpected content - the record is what the county has on file.
4. Service window & delivery
Our standard delivery window is 24 to 48 hours from authorization. We work 8 AM - 6 PM Pacific, Monday through Friday, excluding US federal holidays.
If we cannot complete delivery within the service window, the authorization hold is automatically released and you are not charged.
5. Public records
The records we retrieve are public documents and may be obtained directly from the originating county office without paying our fee. Our fee is solely for the professional time, retrieval, formatting, and expedited delivery of the document to you.
6. Privacy
What we collect: The property address you submit, the email you provide for delivery, and the payment processing data Stripe needs to complete the transaction. When you accept our entry or checkout disclosures, we also record your IP address, browser user-agent, and a timestamp as evidence of that consent, retained with your order records. We do not store your card number, CVV, or full bank details - Stripe handles that under PCI-DSS.
How we use it: Solely to fulfill your request and to send transactional emails about your order. We do not sell, rent, or share your information with third parties for marketing purposes.
How long we keep it: Order records are retained for 7 years for tax and accounting purposes. You may request deletion of your contact data (subject to tax retention requirements for the order record itself) at any time by emailing support.
California residents (CCPA): You have the right to request access to, correction of, or deletion of your personal information. Contact support to exercise these rights.
California Privacy Rights
California residents have the right to request access to the personal information we collect, the right to request deletion of your data, and the right to opt-out of the sale of personal information. We do not sell your personal information. To exercise your rights, contact us at support@regionalsurveyportal.org. We will not discriminate against you for exercising your privacy rights.
7. Limitations of liability
The Service is provided "as is." The documents we deliver are copies of public records as filed with the county. We do not warrant the accuracy, completeness, or current legal validity of any record - those are matters between you and the issuing county or a qualified professional (licensed surveyor, title company, real estate attorney).
Our maximum aggregate liability for any claim arising from your use of the Service is the amount you paid us in the 12 months preceding the claim.
Reliance on sourced records for construction and fencing
Regional Survey Portal acts strictly as a private document coordination and records retrieval concierge. All plat maps, deed summaries, parcel layouts, and public land data delivered through this platform are provided strictly "as-is" and "as available" from public county databases.
- No Surveying or Field Verification: We do not perform physical field engineering, boundary staking, or active land surveying services. Sourced documents reflect past historical recordings and do not constitute a current, legally binding verification of physical boundary lines on the ground.
- Assumption of Risk: The customer, independent contractors, general laborers, and any associated third parties assume 100% of the risk when using retrieved public records for construction planning, fence installations, structural setbacks, auxiliary buildings, or any property modifications.
- Indemnification and Damages: Regional Survey Portal, its parent LLC, operators, and partners shall not be held liable for any direct, indirect, incidental, or consequential damages resulting from the use or reliance on sourced documents. This includes, without limitation, physical structural placement errors, costs associated with tearing down or rebuilding fences, neighbor boundary disputes, code enforcement penalties, or legal fees. It is the sole responsibility of the customer and their hired contractors to verify layout data before breaking ground.
